The work involves the performance of routine and standardized clerical tasks, in the operation and maintaining of a centralized filing system, and inactive records system, in the administrative offices of the Water Authority. Work is performed under the direct supervision of a higher-ranking clerical or administrative employee. Does related work as required.
TYPICAL WORK ACTIVITIES:
Receives, sorts, indexes and files a wide variety of materials such as correspondence, forms, index cards, contracts, purchase specifications, legal, and constructions records;
Keeps records of material and prepares it for filing by coding, indexing and cross-indexing as necessary; Prepares file folders, guides, and labels;
Obtains requested material and charges it to the borrower; Makes necessary searches to insure completeness;
Files returned material and cancels Charge-outs;
Assembles material from files on specific subjects or cases;
Removes various documents, reports, files, etc. from active status for storage, accurately inventorying the material and labeling the boxes for storage;
Maintains inventory records of materials placed in storage to ensure prompt retrieval of the documents when requested;
May occasionally use an alphanumeric keyboard at a computer workstation to enter, process and extract data and information.

Graduation from high school or possession of a high school equivalency diploma and one (1) year of office clerical experience, six (6) months of which must have been in the operation or assisting with the operation of an office filing system.
